Job Function

Under the direction of the Registrar, the Yellowhead Tribal College Registrar Assistant contributes to the planning and implementation of the registration process for classes and maintenance of the academic record of all students. This position works with other administrators across the College, assisting with the coordination of vital services in the Registrar’s office. Other responsibilities include the development and maintenance of Transfer Agreements through the Alberta Council on Admissions and Transfers (ACAT) and developing and maintaining strong relationships with key stakeholders, FN communities and the general public.

Description of Duties and Tasks

  • Maintains student records and administers storage and access of student records in accordance with YTC policy and privacy legislation as appropriate
  • Interprets and enforces academic rules and regulations under the supervision of the Registrar
  • Manages grades, transcript processing and assists with coordinating the grade petition process
  • Assists Registrar with the Registrar’s office and Student Services policies and procedures
  • Assists in the development, negotiation and maintenance of transfer agreements, represents the Registrar's office on the Alberta Council on Admissions and Transfers (ACAT) committee as the Contact Person’s Assistant and assists with the maintenance of all archived, current and active transfer agreements. Also, to represent the Registrar’s office on designated ACAT committees.
  • Provides coverage to Registrar when required and interfaces with funding agencies as directed
  • Provides strong customer service to students, alumni, and community members with respect to student inquiries, applications, and student records
  • Communicates and administers academic standards in a fair and equitable manner

Education, Abilities, Skills

  • Information Technology diploma, Library Technician certificate, or similar field of expertise
  • Knowledge and a willingness to learn about Indigenous culture, issues, and ways of knowing
  • Prior work experience at a post-secondary institution is preferred, with a focus on Canadian Indigenous Institutes
  • Knowledge of accreditation and certification requirements and standards is an asset
  • Ability to work both independently and as part of a team
  • Experience with database, LMS, Microsoft Office, and Google apps
